Setup TOP/UPS WorldShip Interface

Install ODBC Driver On UPS PC

The Basis ODBC or JDBC driver will need to be installed to interface with the UPS Worldship software. Below are links for both.

UPS Worldship Installation

Notes:
Where ever you see ### you will need to replace that with the TOP company number, example 001 for company 1.

Follow the UPS Worldship instructions to install the software on the UPS Worldship CD-Rom if it has not already been installed.

Map Drive on UPS PC

Notes:
It will be necessary to map the UNIX top directory to the R drive on the UPS PC.

Create Folders on UPS PC

Create the following folders on the UPS PC (this can be done from the DOS prompt using the MKDIR command or by using the My Computer icon). You will need to create a CO### folder for each TOP company that is going to be interfaced with UPS.

C:\TOP_DATA (contains cpy_ups###.bat)
C:\TOP_DATA\CO### (contains top_ups.tpm)
C:\TOP_DATA\SGDIR (contains *.1 files)

Download UPS interface files from Mindware website

1. Go to https://mindwarecorp.com/downloads-top-shipping-interface/. Click on Save Target AS -> Click on Browse -> Save files in C:\TOP_DATA\SGDIR folder

2. Unzip the interface files in the C:\TOP_DATA\SGDIR folder

3. Copy C:\TOP_DATA\SGDIR\cpy_ups.bat to the C:\TOP_DATA\CO### folder. The contents of the file is below. You will need to do this for each TOP company.

COPY R:\CO001\OEST1 C:\TOP_DATA\CO001

Notes:
If you are using a company number besides 001, you will need to use NotePad to edit the file. Change the 001 in both places to the correct company number.

4. Copy C:\TOP_DATA\SGDIR\top_ups.tpm to the C:\TOP_DATA\CO### folder. The contents of the file is below. You will need to do this for each TOP company.

Notes:

Create an Icon to Copy the Ship-To File

1. Create an icon for copy command:

Right Click on desktop -> Select New -> Select Shortcut
Use browse to select the C:\TOP_DATA\CO###\CPY_UPS.BAT file
Enter icon name: Copy TOP ### Ship-To File
Select Finish

Create UPS Map
1. Start UPS Worldship software

2. Select Import-Export > Tools

3. Select Connection Assistant

4. Select Create a new map for import -> Select Next

5. For Import Data Type select Shipment -> Select Next

6. Select By Known ODBC Source

7. Select Launch the ODBC Administrator (then follow the steps below)

14. Connect the following fields, first select field from OE_SHIPTOVIEW -> From Ship To Select Connect.

Create TOP Configuration File

File name: /SGDIR/TOP.TPM

Create Data Source

Select Start -> Settings -> Control Panel -> Administrative Tools

Select Data Sources (ODBC) Icon

Enter Data Source Name: TOP

Enter Data Source Description: Total Order Plus

Enter data source configuration file: drive_dir/SGDIR/TOP.TPM
(drive_dir examples, C:/TOP, /u/top, /<scosysv,port=1100>)

Notes:
If you need to setup ODBC for multiple companies, you will need to repeat the steps above beginning with Create TOP Configuration File. Use the company directory number after TOP (example top3.tpm, data source name top3) for each company you setup.

Deleting Inventory Items with Contract Prices

Prior to the new TOP2012 version of Total Order Plus, any time you deleted an inventory item, you would have to manually delete that item out of the contract pricing file for each customer that was getting a contract price on that item.

Now when an item is deleted in inventory, TOP does a series of checks before removing that item in other files. The item ending balance must be equal to zero and there cannot be any order, invoice or purchase order committed quantities. You will be prompted to answer ‘Yes’ if you want to delete the item if it is a kit component and you will also have to confirm the removal of contract prices on each customer for that item.

Set Up TOP Customer Email Contacts

Customer email contacts are set up the same way as other contacts with the exception of the contact type. The contact type must be the same type as in the Email Defaults on the PS Options Menu. The Email Defaults contains a TOP program name and a contact type.

For example, program ARSF40 is the statement print program and may have AP as the contact type. Your email contact would contain the same type in order to email statements to the email address contained in the contact record.

Setting Up TOP Email Parameters

Emailing TOP A/R Statements

To print statements in TOP, access the Accounts Receivable module on the TOP Main Menu -> Select Accounts Receivable System Menu -> Select Period-End Processing Menu -> Select Statement Printing.

The First and Last Customer fields display automatically on your screen. You have the option to override if you are printing statements for one customer or a different range of customers.

Aging Option allows you to print (A)ll statements, statements only with (B)alances or only with balances (O)ver 30 days or balances over (6)0 days. Other options include printing statements that have a credit balance, certain customer types, with a selection option to print (A)ll, (H)ardcopy only, or (E)mail only.

If you select to email statements, you must also select a printer on the TOP printer menu for customers without an email address. The From Address displays from the Email Parameter record or you can override. The To Address must be left blank so it uses the customer’s email address. If you want to email a few statements for testing, you can enter a To Address and they will email to that address.

If you want to send a PDF attachment with each statement, you can enter the file name. The file must be in the EXPORT folder in TOP. If you do not enter the folder name in front of the file name, it will default to the EXPORT folder automatically.

You have three lines of 50 characters each to include a statement message.

Credit Card Access in TOP

Question:

When I enter credit card information for customers, I only want my customer service reps to see the entire credit card number. Can this be added to Total Order Plus for additional security?

Answer:

TOP now has a separate maintenance program for credit card information that allows password protection on the Customer Sub-Menu. In addition, you can set up a group code in the A/R Parameters and the group code can be put in the customer rep’s User Maintenance record for the reps you want to be able to see the entire credit card number. When the credit card displays anywhere in the system, it checks the group code to see if the group code matches. If the group code doesn’t match, the credit card is displayed with *’s. If a user without a group code tries to enter maintenance on a credit card record, a warning message will be displayed.

Click on Anzio Download link on www.anzio.com -> Select latest version of Anzio Lite 17

Notes:

Anzio 16 users download version 16.3m under ‘Archives’

Save to temp folder on C drive (if folder not present create it)

Select Save -> Select OK

Select Open -> Select Run to display Install Wizard

Select Yes to License Agreement -> Select Next for Location

Select Next for Program Folder -> Select Finish

Setup Icon

Select Start -> Programs -> Anzio 17 -> Anzio Lite 17 (New Connection)

Select SCOANSI for terminal type if using SCO, select Linux if using Red Hat Linux

If using SCO, answer No to old style if SCO 5.0.7

Select Telnet from Communications Setup Window if local connection, select ssh if remote connection

Enter IP address for server (example for local connection, 192.168.1.2) –> Click Connect

Select Yes for Please Verify SSH Key if using SSH

Enter login name and password

Select File -> Save Settings As -> Use Total Order Plus for icon name

Slave Printer Setup

Start Anzio Lite

Select File -> Printer Setup -> In Print Level section select Spooler, on printer

Select OK

Disable X box to exit TOP

Start Anzio Lite -> Select Edit -> Select Advanced Options

Select Screen tab -> Uncheck System menu close box

Select File -> Select Save Settings -> Log out and log back in to take effect

Notes:

On some networks, Anzio Lite will automatically disconnect a user after a certain amount of idle time. You can increase the amount of time that Anzio Lite checks the connection by doing the following:

Click on Communicate -> Select Network -> Select Stay Alive and increase the time to 120 or greater -> Select File -> Save Settings

Router/Modem Bridge Mode

Bridge mode is a configuration that disables the NAT and DHCP functions. Placing your ISP’s router/modem into bridge mode allows the SonicWall to control those functions on your network. Bridge mode also allows for remote management of the SonicWall. You will need to call your ISP (Internet Service Provider) for the bridge mode settings. Sometimes you can find them on the internet for your router/modem.

NAT (Network Address Translation) allows multiple devices on a private network to access the internet using a single WAN or public address.

DHCP (Dynamic Host Configuration Protocol) is a network protocol that is used to configure network devices so that they can communicate on your network. DHCP allocates IP addresses to devices on your network. Without DHCP, you are required to setup static IP addresses for each device. We normally setup servers and printers to use static IP addresses and PC’s to use DHCP.

Or, are you a not the sharpest tool in the shed microwave user? You know how to make popcorn and boil water? Maybe now you are thinking what is this !@$? trying to say? Maybe TOP users know a lot or very little about the available features in TOP. If you are a Mensa TOP member, we would like you to share some of the features in TOP, and if you are one of those Other TOP users, we are hoping to make you one of the sharper tools in the shed. That is one of the reasons for the new website, which we built using WordPress, the dominate platform for blogging. We will publish more on this next month.
